Templates are the task lists that new checklists are copied from. You can keep several, for example one for office staff and one for field staff, and choose a default for each kind.

The standard onboarding template covers the signed offer letter, documents, bank details, PF/UAN and ESI, laptop and equipment, system accounts, biometric enrolment, profile completion, team introduction, induction and a 30-day check-in. The standard offboarding template covers handover, asset return, revoking access, exit interview, no-dues clearance, full & final settlement and relieving letters.

Before you start

  • You need the hr.manage permission.

Create or edit a template

  1. Go to Core HR → Onboarding and open the Templates tab ( open Templates).
  2. Click Onboarding template or Offboarding template to create one, or Edit on an existing template.
  3. Enter the Template name and an optional description.
  4. In the Tasks table, fill in each row:
    • Task: a short title.
    • Details: what has to be done.
    • Owner: HR, Manager, IT, Employee or Finance.
    • Due (days): days from the reference date.
  5. Click Add task to add a row, and use the cross on a row to remove it.
  6. Click Save template.

How due dates work

TemplateDay 0 isExample
OnboardingThe joining date-7 = a week before joining
OffboardingThe last working day-3 = three days before the last day

Default and deleting

  • Click Make default to pre-select a template when starting a checklist. HR approvals of exits use the default offboarding template.
  • Click the delete button to remove a template. You must keep at least one template of each kind.
Note

Changing a template does not change checklists already started. They keep their own tasks.
