Manage exits and resignations
Approve or reject resignations, record terminations and other exits, manage the notice period and close the exit.
On this page
The Exits page handles everyone who is leaving: resignations submitted by employees and exits HR records directly, such as terminations or retirements. It brings the notice period, offboarding checklist, exit interview and settlement together on one screen.
Before you start
- You need hr.view to see exits and hr.manage to act on them.
How a resignation moves
| Status | Meaning |
|---|---|
| Pending manager | Submitted by the employee, waiting for their reporting manager |
| Pending HR | Manager approved it, waiting for HR |
| Serving notice | HR approved it. The employee is on notice |
| Exited | The exit is complete |
| Rejected / Withdrawn | Not going ahead |
Managers approve or reject their team's resignations from My Team in the employee portal (see My Team for managers).
Approve or reject a resignation
- Go to Core HR → Exits ( open Exits). The Requests list opens.
- Click a resignation to open it. You can decide even if the manager hasn't responded yet.
- Under HR decision, check the Last working day. The page shows when the notice period ends.
- Add a Note to employee if you like.
- Click Approve exit and confirm.
To refuse instead, enter a Reason for rejecting and click Reject. The employee is notified.
When you approve, the employee's status becomes On notice, their exit date is set, and an offboarding checklist starts from the default template.
Record an exit yourself
Use this for terminations, retirements, absconding, or a resignation received outside the portal.
- Click Initiate exit.
- Choose the Employee and the Exit type: Resignation, Termination, Retirement, Absconded or Other.
- Choose the Reason and add Details.
- Set the Notice / resignation date and the Last working day.
- Click Record exit and confirm. The employee goes on notice right away and offboarding starts.
During the notice period
- Change last working day: pick a new date and save. If the last day is earlier than the notice end, the page reminds you to consider a notice-pay recovery in the settlement.
- Offboarding: see checklist progress and open it from the exit.
- Exit interview: see Record an exit interview.
- Settlement: click Start FnF settlement (needs the payroll.manage permission). See Process a full and final settlement.
Complete or revoke the exit
- After the last working day, click Mark exit completed and confirm. To complete it early, tick the confirm box first.
- The employee is marked Resigned, Terminated, Retired or Absconded (based on the exit type) and can no longer sign in.
If the employee is staying after all, click Revoke exit (employee stays). They become active again. The offboarding checklist is left as is, so delete it from Onboarding if it isn't needed.
Use the On notice, Exited, Withdrawn / rejected and All lists, the search box and the exit type filter to find past exits.
