On this page

Admin users are the people who can sign in to the admin portal: HR, payroll staff, line managers and other administrators. This article shows you how to add them, change what they can do and remove access.

Before you start

  • You need the Manage admin users & permissions permission. Administrators have it by default.
  • Your plan may limit how many active admin users you can have. If you reach the limit, deactivate someone or ask Attendex about a bigger plan.
  • Decide which role each person needs — see Admin roles and permissions.

Add an admin user

  1. In the left menu, under Settings, click Admin Users ( open Admin users).
  2. Click Add admin user.
  3. Optionally pick a Linked employee if the person is already an employee. Their name and email are filled in for you.
  4. Enter the Name, Email and, optionally, a 10-digit mobile Phone.
  5. Under Role, choose a role card.
  6. Review the Permissions ticks. Adjust them if needed, or click Reset to role defaults.
  7. Click Save.

The new admin receives an email with a link to set their password. The link is valid for 72 hours. They don't need a password from you.

Email switched off?

If email delivery is off for your account, the confirmation message shows the one-time link instead. Share it with the person privately.

Change someone's role or permissions

  1. On Admin Users, click the edit (pencil) icon on their row.
  2. Change the Name, Phone, Role or Permissions. The email can't be changed.
  3. Click Save. The changes apply when their session next refreshes — within about a minute.
  1. Click the key icon (Send password link) on their row and confirm.
  2. If they have never signed in, they get a new 72-hour set-password link.
  3. If they have signed in before, they get a 1-hour reset link by email and are signed out everywhere. This link is never shown on screen.

Only an administrator can send password links to other admin users.

Deactivate or reactivate someone

  1. Click the deactivate icon on their row and confirm. They can no longer sign in, and any open session ends within about a minute.
  2. To give access back, click the activate icon on the same row.

Rules that keep your account safe

  • You can't change your own role or permissions, or deactivate yourself — ask another administrator.
  • Only an administrator can grant full administrator access or edit another administrator.
  • You can only grant permissions you have yourself. Permissions you don't have show "(you don't have this)".
  • The last active administrator can't be deactivated or demoted. Make someone else an administrator first.

The Last sign-in column shows when each person last signed in, or Never.
