The Leave Balances page shows each employee's available days per leave type for a year. From here you can open an employee's history, correct a balance or pay out leave.

See balances

  1. Go to Leave → Leave Balances ( open Leave Balances).
  2. On the Balances tab choose the Year, and optionally a Department or Search. Click Show.
  3. The big number in each cell is the available balance — closing balance minus pending requests. Hover to see the opening, accrued, taken and other parts.

A dash (—) means the balance hasn't been set up yet — run the accrual. n/a means the type doesn't apply to that employee (for example gender or probation rules).

Click CSV to download the grid.

Open an employee's history

Click a row. The panel shows a tile per leave type and the History for the year — every credit, leave, refund, adjustment and lapse with its date and note.

Add or deduct days

  1. Click the employee's row.
  2. Under Action, choose Adjust.
  3. Choose the Leave type and Add or Deduct.
  4. Enter the Days (whole or half days).
  5. Enter a Reason — it is shown in the employee's history.
  6. Click Save.

The employee is notified and the change is written to the ledger with the symbol % (manual adjustment by HR).

Encash leave

  1. Click the employee's row.
  2. Under Action, choose Encash. Only encashable leave types are listed.
  3. Choose the Leave type, enter the Days and a Reason.
  4. Click Save.

The amount is worked out at the rate set on the leave policy and added to this month's payroll as a pending adjustment. You can't encash more than the closing balance.

Balances are calculated, not typed

You never type a closing balance. It is always opening + accrued − taken + adjustments − encashed − lapsed, so every change is traceable in the history.
