Set required documents
Choose which documents employees must upload and the details they fill in with each one.
Required documents drive the Documents pending for upload list employees see in their portal. For each document type you decide whether it is mandatory and which details employees must type in, such as a passport number and expiry date.
A starter set is created for you: PAN card, Aadhaar, Passport, Address proof, Highest degree certificate, Relieving letter, Cancelled cheque / bank proof and Photograph.
Before you start
- You need hr.manage to change requirements.
Add or edit a document type
- Go to Core HR → Documents ( open Documents) and open the Required documents tab.
- Click New document type, or Edit on an existing one.
- Enter the Name, choose the Folder (Identity, Address, Degrees & Certificates, Previous Experience, Bank or Other) and what it Counts as.
- Tick Mandatory if every employee must upload it, and Active to show it to employees.
- Add Instructions to help employees, for example which pages to scan.
- Under Fields employees fill in, add a row for each detail: a label, a field type (
text, number, date, selectortextarea) and whether it is Required. For a select field, type the options separated by commas. - Click Save.
To remove a field, clear its label and save.
For the built-in Passport type, the Expires on date the employee enters becomes the document's expiry date, so it shows up in the Expiring in 30 days filter.
What happens next
Employees see each active requirement in My Documents with a Mandatory badge where it applies. See Upload your documents and view letters.
