Give employees portal access
Send employees an invite to set their password, or email a password reset link to someone who already signs in.
On this page
Employees sign in to the employee portal with their work email. HR sends the first invite; after that, HR can send a reset link if someone is locked out.
Before you start
- You need the employees.manage permission.
- The employee must be current (active, probation or on notice) and have a work email.
Send an invite or reset link
- Go to People → Employees ( open Employees).
- Find the employee. The last button on the row shows:
- an envelope (Invite to sign in) if they have never signed in, or
- a key (Email a password reset link) if they have signed in before.
- Click the button and confirm.
You can also do this from the profile with Send invite or Reset password. When you add a single employee, the Send a sign-in invite box sends the invite straight away.
Invite or reset: what's the difference?
| Never signed in | Has signed in before | |
|---|---|---|
| What is sent | An invite to set a password | A password reset link |
| Valid for | 72 hours | 1 hour |
| How it is delivered | By email | By email only |
Either way, any earlier link stops working and the employee is signed out of all devices.
If email delivery is off for your company, an invite shows a one-time link on screen for you to share with the employee yourself. A reset link is never shown to HR, so a working account can't be taken over. In that case ask the employee to use Forgot password on the sign-in page (see Forgot password).
