Change an employee's status
Confirm probation, put someone on notice, record an exit or re-activate an employee, with full status history.
On this page
An employee's status controls whether they can sign in, whether they are included in payroll, and where they appear in lists. Use Change status so every change is dated and kept in the employee's history.
Statuses
| Status | Meaning |
|---|---|
| Active | Confirmed and working |
| Probation | Working, not yet confirmed |
| On notice | Working, serving notice |
| Resigned, Terminated, Retired, Absconded | Exited. Sign-in is blocked |
Payroll runs include employees who are active, on probation or on notice.
Before you start
- You need the employees.manage permission.
Steps
- Go to People → Employees ( open Employees).
- Click the arrows icon (Change status) on the employee's row, or open the profile and click Change status.
- Choose the New status.
- Set the Effective date. It can't be before the joining date.
- Enter a Reason, for example "Probation completed". A reason is required for exits.
- Click Update status.
What happens next
- Probation → Active: if no confirmation date is set, the effective date becomes the confirmation date.
- Exit statuses: the effective date becomes the date of exit, sign-in is blocked, and the change stays in history. If the person still has direct reports, a note reminds you to reassign them.
- Back to a working status: the exit date is cleared and sign-in is allowed again.
Use Exits for a full exit process
Change status is a quick, one-step change. For notice periods, manager approval, exit interviews and offboarding tasks, use Exits instead.
