Use Bonus & Deductions for amounts that apply to a single month — a festival bonus, sales commission, a fine or a recovery. Each one appears as its own line on that month's payslip.

Before you start

  • You need the Run payroll, edit salary, FnF, deduction rules & adjustments permission.
  • The month's payroll must not be approved yet. If it is, add the amount to the next month instead.

Steps

  1. Go to Payroll → Bonus & Deductions ( open Bonus & Deductions).
  2. Click Add adjustment.
  3. Choose the Type and the Payslip month.
  4. Optionally change Shown on payslip as (for example "Diwali bonus") and add an Internal note.
  5. Choose how to enter employees:
    • Pick employees — tick employees, then type one amount in Same ₹ for everyone ticked, or an Own amount per person.
    • Paste list — one employee per line: employee code, then amount (for example EMP001, 5000). You can copy two columns straight from Excel.
  6. Click Add.
A draft run already exists?

If a draft payroll exists for that month, the new adjustment is not on those payslips yet. Open the run and click Recalculate all (or recalculate those employees) — see Recalculate payslips when figures look stale.

Track adjustments

  • Pick the month and year at the top, and filter by status. The cards show extra earnings, extra deductions and the total waiting for payroll.
  • Next payroll — waiting to be picked up by the next payslip for that month.
  • On payslip — already on a payslip; click the badge to open it.
  • Cancelled — will not be paid.

To remove an adjustment that is still waiting, click the bin icon. An adjustment that is already on a payslip can't be deleted — recalculate or delete that payslip first, or add a correcting entry.

Good to know

  • Earnings adjustments count for professional tax. Except for Bonus, they also count as ESI wages.
  • If you delete or recalculate a draft payslip, its adjustments go back to Next payroll automatically.
  • Salary revisions back-dated into a locked month create arrears automatically; you don't need to add those by hand.
