Review a payroll run before approval
Use the Review tab to find employees without payslips, negative net pay, missing bank or UAN details, attendance conflicts and big changes from last month.
Before a run can be approved, check it on the Review tab. It lists problems that would make salaries wrong or files fail, and compares every employee's net pay with last month.
Before you start
- Create the run first — see Run monthly payroll.
Steps
- Go to Payroll → Run Payroll ( open Run Payroll) and open the month's run.
- Click the Review tab. The badge shows how many warnings there are.
- Read Checks before approval. Red items must be fixed; amber items need a look; blue items are for information.
- Fix each problem at its source — the employee profile (see Edit employee details), attendance, salary or settings.
- If Employees without a payslip shows people marked "Not generated yet", click Generate missing payslips.
- Click Recalculate all so the fixes reach the payslips.
- Scroll to Variance vs last month and check the highlighted rows.
What each check means
| Check | What to do |
|---|---|
| Negative net pay | Blocks approval. Reduce deductions, EMIs or adjustments for that employee and recalculate. |
| Employees without a payslip | "No salary assigned" — assign a salary. "Not generated yet" — generate missing payslips. |
| Missing bank account / IFSC | The employee is left out of the bank file. Add bank details to their profile. |
| Zero paid days / No attendance marked this month | Check attendance for the month. |
| PF members without UAN | They are left out of the PF ECR file. Add the UAN. |
| TDS deducted but PAN missing | Add the PAN to the employee's profile. |
| Professional-tax slabs missing | Load slabs for that state in Statutory Settings. |
| Incomplete punches counted as LOP | Days with a missing punch are unpaid. Fix them through attendance regularisation. |
| Days without a salary in force | The salary starts after the employee's joining date. Correct the effective date. |
| Present on a day of approved leave | Leave is not counted twice — decide which is right. |
| Month not over yet | Days after today count as LOP. Recalculate after month end. |
| Salary on hold, New joiners, Leavers, Arrears paid this month | Information only. |
Variance vs last month
The table shows last month's and this month's net pay, the change, paid days and the likely reason (salary revised, LOP change, arrears, overtime). Rows where net pay moved by 10% or more are highlighted. Download the same data as the Variance vs last month report.
Payroll you can trust
Most surprises come from attendance. Click the paid-days figure on the Payslips tab to open that employee's attendance calendar for the month.
