Recalculate payslips when figures look stale
Why a draft payslip doesn't change on its own after you edit attendance, leave, salary or adjustments, and how to recalculate one payslip or the whole run.
On this page
A payslip is worked out when it is generated. If you later change attendance, approve leave, revise a salary, add a bonus or excuse a deduction, the draft payslip keeps the old figures until you recalculate it. This is the most common reason payroll "looks wrong".
Before you start
- Only a Draft run can be recalculated. If the run is In review, click Send back to draft first.
- Approved and paid runs are locked. Corrections go through next month — see "After approval" below.
Recalculate one employee
- Open the run from Payroll → Run Payroll ( open Run Payroll).
- On the Payslips tab, find the employee (use the search or department filter).
- Click the recalculate icon (circular arrows) on their row.
- The payslip is rebuilt from the latest attendance, salary and adjustments, and the run totals update.
Recalculate the whole run
- Open the draft run.
- Click Recalculate all at the top and confirm.
- The message tells you how many payslips were recalculated and lists anyone skipped, with the reason.
What recalculation does
- Re-reads attendance, paid leave, holidays and salary versions for the month.
- Hands back anything the old payslip used — loan EMIs, expense reimbursements, bonuses and penalties, arrears — and picks them up again, so nothing is paid or recovered twice.
- Re-applies deduction rules, overtime and statutory deductions.
- Keeps a salary hold if one was set.
- Removes payslips of people no longer in scope for the month (for example now settled through full and final).
Attendex keeps a cached monthly attendance summary per employee. Editing attendance or leave for a month clears the employee's cached summary automatically, so the next recalculation reads the live attendance. If the attendance for a month has been finalised, payroll uses the finalised totals.
After approval
Once a run is approved it can't be recalculated. To correct a past month:
- add a bonus, arrears, recovery or penalty to the next month in Bonus & Deductions, or
- back-date a salary revision — the difference is paid automatically as arrears in the next run (see Assign or revise an employee's salary).
