How payroll works

The big picture of payroll in Attendex — what you set up once, what you do every month, and where each number on a payslip comes from.

This article is for payroll and HR admins who are new to Attendex. It explains how the payroll pieces fit together so the step-by-step articles make sense.

Before you start

  • You need the Payroll module in your plan. Tax (TDS) is a separate Tax & TDS module that needs Payroll.
  • To see payroll pages you need the permission View payslips & salary structure. To run payroll, edit salaries, deduction rules and adjustments you need Run payroll, edit salary, FnF, deduction rules & adjustments. The built-in Payroll manager role has both — see Admin roles and permissions.
  • Everything lives under Payroll in the left menu of the admin portal.

What you set up once

Menu itemWhat it holds
Salary StructureSalary components (Basic, HRA, PF…), reusable structures and each employee's salary
Statutory SettingsPF, ESI, professional tax, labour welfare fund, gratuity and net pay rounding
Deduction RulesPenalties for late arrival, early leaving, unplanned absence or short hours, plus Payroll settings (per-day basis and overtime)
Tax & TDSDeclaration and proof windows, regime and declarations per employee
Expense Claims and Loans & AdvancesReimbursements paid with salary and EMIs recovered from salary

What you do every month

  1. Make sure attendance and leave for the month are complete.
  2. Add any one-time bonuses or deductions in Bonus & Deductions.
  3. Go to Run Payroll and create a run for the month. Attendex generates a draft payslip for everyone employed in that month.
  4. Check the Review tab, fix problems and click Recalculate all if anything changed.
  5. Click Submit for approval, then Approve & lock. Employees can now see their payslips.
  6. Download the bank file and statutory files, pay salaries, then click Mark paid.

Where the payslip numbers come from

  • Earnings — each salary component's monthly amount, pro-rated once for loss of pay: monthly amount × (1 − LOP days ÷ day divisor). The day divisor is your Per-day salary setting (working days, calendar days, 30 or 26).
  • Joiners and leavers — days outside employment are simply not paid. They are never shown as LOP.
  • Mid-month salary revisions — each salary version is paid for the days it was in force.
  • Extra lines — deduction-rule charges, bonuses and penalties from Bonus & Deductions, approved expense reimbursements, loan EMIs and arrears appear as separate lines.
  • Statutory deductions — PF, ESI, professional tax, LWF and TDS are worked out by the statutory engine from your settings.
LOP amount on the payslip

The payslip shows LOP days and an LOP amount for information. Earnings are already reduced, so the LOP amount is not deducted a second time.
