Create and edit shifts
Set up shift timings with grace periods, paid or unpaid breaks, half-day and full-day hours, overtime, overnight and flexible timing.
On this page
A shift tells Attendex when an employee is expected to work, how much lateness to forgive and how many hours make a full or half day. Every attendance day is measured against a shift.
Before you start
- You need permission to manage shifts. People with view-only access can see shifts but not change them.
Create a shift
- Go to Time & Attendance → Shifts ( open Shifts).
- On the Shifts tab, click New shift.
- Fill in Name (for example General) and a short Code (for example GEN).
- Set Start and End. If the end is earlier than the start (for example 22:00–06:00) the shift is treated as overnight automatically.
- Set the rules described below.
- Tick Default shift (for employees without one) if this is the shift most people work.
- Keep Active ticked and click Save shift.
What each field does
| Field | What it does |
|---|---|
| Grace in (min) | Arriving up to this many minutes after the start is not late. Once late, late minutes count from the shift start. |
| Grace out (min) | Leaving up to this many minutes before the end is not early. |
| Break (min) and Break is | An Unpaid (deducted) break is subtracted from worked time when the employee worked at least the half-day hours. A paid break is not deducted. |
| Half day after (h) | Effective hours needed for a half day. |
| Full day after (h) | Effective hours needed for a full day (present or late). Below half-day hours the day is short hours. |
| OT after (h, 0 = off) | Overtime starts only after this many hours, and only for time beyond the shift's own length. 0 turns overtime off for the shift. |
| Flexible timing and Flex window (min) | The flex window is added to grace in, and completing the full-day hours clears the early-leaving mark. |
| Colour | Used on the roster and calendars. |
All time worked on a holiday or weekly off counts as overtime. Very short overtime (below the minimum in the attendance policy) is ignored.
Overnight shifts
Night shifts are recorded on the day the shift started. A 22:00 Monday to 06:00 Tuesday shift appears on Monday's attendance.
Edit or delete a shift
- Click Edit on the shift card, change the fields and click Save shift.
- To remove a shift, click Delete and confirm. If the shift already has attendance history it is deactivated instead of deleted.
Changing a shift affects new punches. To apply the new rules to days already calculated, use Re-process day on the Attendance page — see View and correct daily attendance.
The card How the engine uses a shift at the bottom of the Shifts tab summarises these rules in the app.
Next steps
